2. Integrations: what the system needs to connect to
This is the factor with the biggest impact on price. A standalone CRM is a pretty database. The real value comes from the connections: WhatsApp, website forms, Facebook ads, invoicing software, calendar, phone system. Some connectors exist off the shelf and take an hour; others require development. The difference between the two can be tenfold for the same connection.
3. Migration: what happens to your history
If all your customers live in one clean spreadsheet, importing is simple. When comparing quotes, most people look only at the project price. These are the costs that surprise you later:
Subscriptions that pile up. A platform that's "only $30 per user" becomes, with 10 users and three add-ons, $1,000 a month, every month, forever. A custom build costs more on day one and sometimes less by year three. Do the math over three years, not one month.
Features you pay for and never use. If your team uses three screens out of thirty, you're subsidizing the other twenty-seven.

A serious vendor will come back with a detailed proposal: what's included, what isn't, how long it takes, and what happens after launch. If you got a single number with no breakdown, or a commitment without being asked about your process, that's a red flag.
